Manual NDIS invoicing is how billing errors are born. Every rejected claim, wrong support item code and outdated price limit costs you time and money you cannot recover.
This guide covers what NDIS invoicing software automates, what the 2025–26 pricing arrangements changed, and how Vertex360’s invoicing module removes the errors at the source.
Picture a provider generating 200 invoices per fortnight with a 5% error rate. That is 10 faulty invoices every cycle, and each one needs checking, correcting, resubmitting and chasing.
At 20 to 30 minutes per error, the team loses three to five hours every fortnight. Over a year, that adds up to roughly 80 to 130 hours of paid admin time.
The hidden cost is cash flow. A rejected claim sits unpaid while your workers’ wages, super and travel still go out on time.

What NDIS Invoicing Software Must Do in 2026
NDIS invoicing software is a system that turns completed shifts into compliant invoices and claims, using current NDIS price limits, without manual data entry.
In 2026, effective NDIS billing software must:
- Generate invoices automatically from shift data recorded by rostering and timesheets
- Apply a live NDIS price catalogue that updates when the NDIA publishes new pricing
- Prepare NDIA-managed claims for the my NDIS provider portal under the PACE system
- Email invoices to plan managers and self-managed participants in one click
- Sync with accounting systems such as Xero, MYOB and QuickBooks
- Check price limits and claiming rules before an invoice leaves your system
If your current setup cannot do all six, your team is filling the gaps by hand. Those gaps are where errors happen.

What Changed in the 2025–26 NDIS Pricing Arrangements
The NDIA published the NDIS Pricing Arrangements and Price Limits (PAPL) 2025–26 on 16 June 2025. The new limits applied to supports delivered from 1 July 2025.
Providers had about two weeks to update every rate in their systems. Here are the changes that hit invoicing hardest.
Therapy supports moved to national pricing. The NDIA replaced state-based limits with one national price limit for therapies such as physiotherapy and psychology.
- Physiotherapy dropped by $10.00 in NSW, VIC, QLD and ACT, and by $40.63 in WA, SA, TAS and NT.
- Psychology rose by $10.00 on the east coast but fell by $11.23 in WA, SA, TAS and NT.
- Dietetics and podiatry each fell by $5.00 nationally.
Therapy travel was capped. Travel time for therapy providers in regional, remote and very remote areas is now limited to 50% of the standard price limit.
Core supports rose modestly. Several supports received a 3.2% increase, including nursing, personal domestic activities, house cleaning and yard maintenance.
A mid-year update followed. Version 1.1 of the PAPL and Support Catalogue took effect on 24 November 2025.
It removed the COVID addendum and its support items, changed art and music therapy pricing, and applied updated Modified Monash Model classifications.
How live catalogue platforms handled the change
Providers on platforms with a live price catalogue saw the new rates load into their system. Shifts delivered on or after 1 July 2025 were priced at the new limits, while earlier shifts kept the old rates.
What manual providers had to do
Providers on spreadsheets had to download the new Support Catalogue, update every rate by hand, and split invoices that crossed 30 June. Any missed line item meant a claim above the limit or money left on the table.
What applies now
In 2026, the NDIA published new pricing schedules following the Minister’s pricing determination, based on its 2026–27 annual pricing review. The same risk applies every year: rates change and manual systems fall behind.
The Five Most Expensive NDIS Billing Errors
These five errors cause most rejected claims and write-offs for small-to-medium providers.
Wrong support item code. The claim is rejected or paid at the wrong rate, and someone must trace the shift, recode it and resubmit.
Billing against outdated rates. Claims above the current limit get rejected, while claims below it quietly lose you revenue on every shift.
Exceeding the plan budget without a warning. Once funding runs out, the NDIA will not pay, and you may end up writing off the service.
Incorrect plan management pathway. An invoice sent to the NDIA instead of a plan manager, or the reverse, delays payment by weeks.
Timesheet-to-invoice discrepancy. A gap between hours worked and hours billed triggers disputes, payroll issues and audit risk.
How Vertex360’s Invoicing Module Prevents Each Error
Vertex360’s NDIS invoicing software removes the manual steps where these errors begin. Here is how each feature closes a specific gap.
Automated support item code allocation
Each participant’s service agreement holds the correct support items. When a worker completes a shift, Vertex360 applies the matching code, so no one types item numbers from memory.
Live NDIS price catalogue
Vertex360 includes a built-in NDIS price catalogue. It applies the right rate to every service automatically, which removes manual rate calculations and stops claims above the price limit.
Rostering-to-invoice connection
Vertex360 generates invoices from completed shifts in the NDIS rostering software. The hours your worker records in the mobile app become the hours on the invoice.
Funding visibility and plan pathway handling
Funding management tracks each participant’s budget as shifts are delivered. Invoices route by plan type, with one-click email for plan managers and bulk claims for NDIA-managed participants.
Accounting system integration
Vertex360 integrates with Xero, MYOB and QuickBooks. Your invoice data flows into your accounts, so your finance team stops re-keying figures and reconciling two systems.
Billing compliance checks on every invoice
Built-in error detection flags mistakes before claims go out. This links directly with the wider NDIS compliance tools that keep your records audit-ready.

The ROI for a small-to-medium provider
Vertex360 reports that automated invoicing saves up to 50% of admin time. For our 200-invoice provider, recovering three to five hours each fortnight frees close to three working weeks a year.
The Vertex360 plan starts at $26.25 per month plus GST and includes free accounts for support workers. One prevented write-off can cover months of subscription.
Participant and billing data sits on AWS servers with encryption. Every plan includes customer support via web chat, email, MS Teams and phone.
Providers who want this same invoicing logic built specifically for NDIS-only operations can also see how Supportly applies the NDIS Price Catalogue automatically, Vertex360’s sister platform built on the same compliance-first foundation.
How to Choose NDIS Invoicing Software in 2026
Use this checklist when you compare NDIS claims software in Australia. A platform that misses any point leaves manual work for your finance team.
- Does it create invoices straight from completed shifts?
- Does it apply new NDIS price limits without manual edits?
- Does it handle NDIA-managed, plan-managed and self-managed billing?
- Does it sync with Xero, MYOB or QuickBooks?
- Does it flag budget and price limit issues before claims go out?
- Is there a free trial so you can test it with your own shift data?
Vertex360 covers every point on this list. The 7-day free trial lets you test it with real participants before you commit.

Stop Paying for Billing Errors
Every fortnight on manual invoicing costs you hours and puts claims at risk. Vertex360 turns completed shifts into accurate, compliant invoices with current NDIS rates applied every time.
NDIS Invoicing FAQs
How does NDIS invoicing software submit to the PACE portal?
Under PACE, providers submit payment requests through the my NDIS provider portal, accessed via PRODA. Vertex360 prepares bulk claims from your invoices and connects with PRODA, so your team avoids entering claims one at a time.
What are the most common NDIS claim rejection reasons?
The most common reasons are insufficient funds in the participant’s plan, a support item that does not match the plan, prices above the current limit, and service dates outside the plan period. Duplicate claims are another frequent cause.
How often does the price catalogue update in Vertex360?
The NDIA reviews pricing every year, with changes usually taking effect on 1 July, plus occasional mid-year updates. Vertex360’s built-in catalogue loads published changes, so your team never edits rates by hand.
Does Vertex360 handle plan-managed and NDIA-managed billing?
Yes. Vertex360 emails invoices to plan managers and self-managed participants in PDF or Excel format. For NDIA-managed participants, it prepares bulk claims for the my NDIS provider portal.
How much does NDIS invoicing software cost in Australia?
Most NDIS invoicing software is billed per user, per participant or as a flat monthly plan. Some platforms also charge setup or implementation fees on top.
Vertex360 starts at $26.25 per month plus GST, with invoicing included and free accounts for support workers. A one-off $199 onboarding fee applies, and the 7-day free trial lets you test it before you pay.
